How to Reconcile Walmart Marketplace Settlements

A Walmart Marketplace settlement reconciles when the payout that landed in your wallet or payout-provider account equals gross sales for the cycle, minus refunds, minus referral commissions, minus fulfillment and advertising charges, plus or minus adjustments, plus or minus any balance carried from the prior cycle. That is the whole equation. The work is getting each of those pieces out of Walmart’s payment report and into the right ledger accounts so the deposit ties to the penny. Here is the process, with a worked example.

Step 1: Know the cycle you are reconciling

Walmart’s payout processing guide (updated August 4, 2026) says payouts generally occur biweekly, every 14 days, unless a seller has other arrangements, and that the settlement cut-off for your account is shown under Payment Information on the Statements page in Seller Center. Shipment notices received after the cut-off roll into the next cycle. New sellers sit under a payment hold, so in most cases the first payouts arrive in the cycle after shipment, about 28 days after an order ships.

Two practical consequences. First, a settlement period is not a calendar month, so your monthly P&L will always contain one complete cycle and two partial ones. Second, an order shipped on the last day of a cycle may not appear until the next report. If you reconcile by matching orders to periods rather than by matching the report to the deposit, you will chase phantom differences for hours.

Step 2: Pull the payment report, not the orders list

The document you reconcile against is the Marketplace and WFS payment report, found in Seller Center under Reports, in the Payments and fees section. Walmart’s report overview lists the columns that matter: Period Start Date and Period End Date, Transaction Posted Timestamp, Amount (the credit or debit to your account), Commission Rate (the referral fee rate set by the item’s contract category), Transaction Reason Description (populated on refunds), and Fulfillment Type (seller-fulfilled or WFS).

Download the CSV for the settlement date you are closing. Do not reconcile from the orders export. Orders tell you what sold; the payment report tells you what Walmart paid and charged, which is the only thing that will ever agree with your bank.

Step 3: Bucket every line by transaction type

Sort the report by transaction type and total each bucket. For a typical seller you will end up with:

  • Product sales (gross, before anything is deducted)
  • Shipping revenue collected from customers, if any
  • Refunds and returns (negative sales, with the reason code)
  • Referral commissions (the percentage in the Commission Rate column applied to each sale)
  • WFS fulfillment and storage charges, if you use Walmart Fulfillment Services
  • Walmart Connect advertising, if it is billed against your payout
  • Adjustments: reimbursements, chargebacks, reversals, promotional credits
  • Opening balance carried from the previous cycle, if negative

The referral commission bucket deserves a second look. Because the rate is driven by contract category, one miscategorized item can carry the wrong percentage for months. Sum commissions by rate and check that the rates you see match the categories you expect.

Step 4: The worked example

The figures below are illustrative, not a Walmart fee schedule. Referral rates vary by category; the 15 percent here is a placeholder so the arithmetic is easy to follow.

Cycle: August 15 to August 28, 2026. Gross product sales $18,400. Refunds $1,120. Referral commissions $2,592 (15 percent of $17,280 net sales). WFS fulfillment fees $1,760. Walmart Connect ad spend $900. Reimbursement for a lost inbound shipment +$85. Opening balance $0.

Expected payout: $17,280 net sales, less $2,592, less $1,760, less $900, plus $85 = $12,113.

If the deposit that hit your Marketplace Wallet or payout provider is $12,113, the cycle is reconciled. If it is $12,098, you have a $15 difference to find, and the first places to look are a refund posted after you pulled the report, a provider withdrawal fee, or an adjustment line you skipped.

Step 5: Book it so the ledger tells the truth

The mistake that ruins Walmart books is booking the $12,113 deposit as revenue. Revenue was $18,400. The rest is cost. One journal entry for the cycle looks like this:

Debits and credits both total $18,485, so the entry balances. Keep Walmart fees in their own accounts rather than a single “marketplace fees” line. When you later compare channel margins, you will want to know whether Walmart’s commissions or its fulfillment charges moved.

Cost of goods sold is a separate entry. The payment report knows nothing about your unit costs, so COGS for the units that shipped in the cycle comes from your inventory records at whatever cost method you use.

Step 6: Match the deposit, then the 1099-K

Walmart does not pay by direct ACH to an outside bank. The payout processing guide explains that funds go to the Marketplace Wallet, a JPMorgan deposit account you can then transfer from, or to an approved third-party provider such as PayPal or Payoneer. That means two movements: Walmart to wallet, then wallet to your operating account. Reconcile the first against the settlement report and the second against your bank feed. If you skip the wallet step, transfers that lag a cycle will look like missing revenue.

At year end, Walmart issues a Form 1099-K on gross payments. The IRS page on understanding your Form 1099-K is clear that the form reports gross amounts and that all income is reportable regardless of threshold. If your books carry gross sales and separate fee accounts, the 1099-K ties to your sales account. If you booked net deposits, it will not, and you will spend January rebuilding the year.

Where software fits

Everything above can be done in a spreadsheet at fifty orders a cycle. At two thousand, the bucketing and the per-SKU COGS entry become the job. Tools that read Walmart’s settlement data and post it to QuickBooks Online, QuickBooks Desktop Enterprise or Xero with fees, refunds and COGS already split by transaction type exist; one of them is described at https://www.connectbooks.com/walmart. The test for any such tool is simple: after it posts a cycle, does the cash account movement equal the payout report to the penny, and does gross sales equal the 1099-K at year end? If both hold, the reconciliation is done by design rather than by heroics.

Checklist

  1. Confirm the settlement dates and cut-off for your account.
  2. Download the Marketplace and WFS payment report for that settlement date.
  3. Total each transaction type; verify referral rates by category.
  4. Compute expected payout and match it to the wallet or provider deposit.
  5. Post gross sales, contra revenue and each fee type separately.
  6. Post COGS from inventory records.
  7. Reconcile wallet-to-bank transfers against the bank feed.
  8. At year end, tie gross sales to the 1099-K.
